JOB DESCRIPTION: The Conference Director’s role is to program the annual Writers Conference, work with the Film and Screenplay Department’s creative heads to develop and implement cross programming to ensure cohesion within Festival programming and across all Festival initiatives, market to both the general public and the established Conference and Festival registrant base, help create the Festival’s Program Book, and program and schedule additional year-round Austin Film Festival programs. The Conference Director will work with all departments in creating a cohesive program and to advocate the Festival’s mission throughout the year.

RESPONSIBILITIES: The responsibilities of the Conference Director include but are not limited to:
Programming
- Create a program (200 panels over 4 days) which fulfills AFF’s mission and goals while sustaining the reputation of the Festival’s programming. This includes: inviting honorees, guest speakers and moderators, managing their expectations, creating panels based on industry news and visionary storytelling and catering to an audience of first-time attendees, professional screenwriters and filmmakers, and a general crowd of film lovers.
- Work closely with ED, Development, Screenplay and Film Departments to ensure programming is furthering the Festival’s mission.
- Maintain the excellence of the program, regardless of strict budget limitations.
- Facilitate and continue to build the slate of strong television premieres.
- Program retrospective screenings and corresponding guest programmers.
- Facilitate and continue to build the slate of strong television premieres.
- Assist with helping select jury members for all competitions.
- Event planning for year-round programs including but not limited to: Conversations in Film, screenplay readings, Young Filmmakers Program, writers retreats, and film screenings.
Communication
- Demonstrate timely and effective written and verbal communication.
- Act as the primary point of contact with all incoming speakers. Be thorough in setting and managing expectations, guidelines and schedules.
- Facilitate hospitality handlers for honorees and special guests; provide itineraries for parties involved.
- Manage a Conference team which consists of a Conference Coordinator, interns, and a large base of volunteers.
- Lead the Film and Screenplay Departments in continuing legacy cross-programming and establishing new Festival initiatives.
- Conduct weekly Creative Meetings with the ED, Senior Film Program Director and Script Competition Director to brainstorm new ideas and ensure goals are being met.
- Assist with helping select jury members for all competitions
- Identify and establish relationships with individuals and companies that can play a larger role within the Festival in future years (panelists, mentors, fellowship deals, etc.).
- Assist the Senior Film Programmer in creating a strong slate of marquee films for the Festival.
- Conduct ample research and outreach to distributors, producers, executives, and alum – executed and maintained year-round
- Travel to LA and set meetings with distribution and production competitions
- Help coordinate guests for each film to make every screening an event
- Utilize the Festival’s history to help secure programming
- Attend weekly staff meetings and marketing meetings w/ detailed weekly reports. Advocate for the Festival’s mission in all meetings. Create excitement throughout departments by communicating secured guests and programming
- Collect and edit panelists’ photos, bios, addresses and all contact information; maintain Conference contact database.
- Work with Marketing department to create and execute marketing plan for the Film Festival, Conference, and year-round events, including outreach to past and potential new registrants, partner organizations, screenwriting and filmmaking groups, and schools & universities; Conference and other Festival brochures.
- Collect, organize, and turn in content for the Program Book
Event Logistics
- Oversee registration, gift baskets, Festival bags for all panelist and moderators.
- Work with ED to secure all venues for Conference and oversee complete production of Conference including hotel BEOs, Conference signage, chairs and audio.
- Write panel, bio, schedule content for the Program Book

Theater Operations Manager

JOB DESCRIPTION: The Theater Operations Manager hires, trains, and coordinates all theater manager and film liaison volunteers and manages theater Front of House operations during the festival.

RESPONSIBILITIES: The responsibilities of the Theater Operations Manager include but are not limited to:
Pre-Festival:
- Recruit and hire all Front of House staff and volunteers, including theater managers, filmmaker liaisons, interns and volunteers
- Coordinate Front of House team, including scheduling and training on AFF’s policies and procedures
- Prepare all Front of House materials, including venue boxes, binders, introduction scripts, and cue cards
- Work with Accounting department to train theater managers on taking payments at venues
- Attend all venue walk-thrus; know venue size and expected attendance in order to determine number of volunteer and staff members needed
During the Festival:
- Update Theater Manager schedules, fill positions as needed
- Maintain Front of House materials, as needed, including venue boxes, binders, introduction scripts and cue cards
- Assist Production Manager in performing tech checks with filmmakers during the Festival as needed
- Provide daily attendance reports during the Festival to Film and Executive departments
Post-Festival:
- Provide wrap up of Front of House materials
- Provide completion materials, including but not limited to wrap up report, archive documents and resources, and updated Theater Operations training materials
Ongoing:
- Attend all Film Department and Staff meetings
- Provide weekly reports to Executive Director, Managing Director, and Film Department
- Adhere to and complete a predetermined timeline
- Provide exemplary customer service
- Commitment to the AFF Mission Statement
QUALIFICATIONS:
- Bachelor’s Degree preferred
- Must have extensive knowledge of the Festival & Writers Conference
- A self-motivated, self-starter adept at juggling multiple projects and problem solving

Venue Logistics Coordinator

OVERALL JOB DESCRIPTION: The Venue Logistics Coordinator is responsible for organizing and following through with all logistical needs regarding signage and other related rentals at all venues as well as manage a team of volunteers to set up and break down at across all festival and conference locations.
RESPONSIBILITIES: The responsibilities of the Site Coordinator include but are not limited to:
- Securing a tech center, out of which all festival and conference operations will occur during the week of Oct. 29th
- Coordinating and supervising move-in, maintenance, and move-out of the tech center, including internet set up
- Working with the Executive Assistant to fulfill City of Austin requirements
- Acquiring the necessary equipment and rental items prior to the festival including banners, signs, director’s chairs, pipe and drape
- Serving as point person for any conference vendors
- Securing and managing walkies during the festival
- Assigning, programming/signing in/signing out AFF phones-mainly needed for transpo, volunteer team
- Managing and adhering to a set, pre-determined budget
- Working with the sponsorship team to ensure all sponsorship banners are properly on display and sponsor events are properly set up
- Securing the proper number of director’s chairs for panels and Q&A’s at various festival locations
- Adhering to all signage needs for Austin Film Festival TV Show, On Story®
- Coordinating with venues and preferred audio-visual contractor for proper timing of set up and breakdown of equipment
- Working closely with Conference team to ensure conference venues are set up in time for panels to begin
- Provide Conference team with updates on conference set up
- Coordinating all Conference water supply
- Serving as point person for any signage that needs to be created
- Securing a robust team of volunteers of 10-15 volunteers to help execute day to day load-in and outs, set up, and breakdown during the festival
- Completing Weekly Status Reports and attend weekly staff meetings
- Providing exemplary customer service
- Providing wrap up and completion materials, including inventory and invoicing
QUALIFICATIONS:

JOB DESCRIPTION: The Production Manager manages and coordinates all aspects of film exhibition and screening logistics, including digital technology, projection and recruiting projectionists, equipment needs, contacting filmmakers, and overseeing Back of House Projection operations. The Production Manager works with the Film Department to ensure the Film Program runs as smoothly and on time as possible, adheres to screening venue contracts, and supports production of Filmmaker Packets. Excellent communication skills and customer service/support with filmmakers before, during and after the Festival, including supporting filmmaker registration, sound checks, tech support, troubleshooting, and providing any other necessary information to filmmakers screening at the Festival.

Data & File Management
- Manage the database, organization, and flow of all incoming digital film files
- Create spreadsheets and track all filmmaker information, materials, and deliverables, including exhibition files
- Update the Filmmaker Packet and send to filmmakers upon a film’s acceptance
- Create and collect preshow slideshows, trailers/bumpers and place in appropriate playlists
Equipment & Technology Management
- Schedule and coordinate equipment rentals needed at each screening venue
- Move, set up all computers for exhibition at screening venues
- Perform sound checks at screening venues
- Coordinate logistics for all films and screenings
- Follow and complete backup procedures for digital files
- Serve as screening tech point person before and during the Festival
Team Management
- Gather a team of Quality Checkers to ensure films play properly and meet Festival requirements
- Recruit capable Projectionist Volunteers to work during the Festival
- Work with the Theater Operations Manager to oversee training and communication to all Theater Volunteers, specifically Projectionists
- Attend all film department and staff meetings
- Oversee and be ON CALL during all screenings throughout the Festival to troubleshoot any technical or staffing issues
Communication & Customer Service
- Contact filmmakers about deadlines and make sure all deliverables arrive on time
- Support Registration of attending filmmakers with Film Department
- Keep Film Department updated on the schedule and status of all digital transfers
- Establish connections with screening venue contacts
- Provide weekly reports and attend weekly meetings
- Adhere to and complete a pre-determined timeline
- Stay ahead of schedule and be preemptive with all deadlines and possible upcoming technical difficulties
- Provide exemplary customer service
- Provide completion materials, including but not limited to wrap up report, final invoices, receipts, archiving of the film program, and updating Production Manager training materials

QUALIFICATIONS:
- Must be familiar with the post-production aspect of filmmaking
- Must have extensive knowledge of film aspect ratios, presentation aspect ratios, color space, projectors, film revision and sound
- Knowledge of both PCs/Mac, and video and sound file format specifics, and extensive understanding and working knowledge of Final Cut and Adobe Premiere
- Extensive knowledge of MS Excel

Executive Assistant

- Oversee and manage Grants: research, calendar deadline date, timeline for completion and reporting
- Manage, hire, train and delegate interns for the Executive Department
- Filing all paperwork and keeping files clear and concise for auditing purposes
- Work with bookkeeper, auditor and accountant with sensitive information
- Manage accounts receivable and accounts payable
- Sponsorship, Ads, Film & Food, Grants, Invoices – Prepare contracts and keep files for audit
- Upkeep of regular monthly bills, invoicing, taxes, insurance, rent, credit cards, 401k and assisting the bookkeeper
- Acting as point of contact for all permitting via the City of Austin
- Organize board of directors meetings (three a year)
- Assist in HR related matters that tend to be confidential and sensitive – HR Team consists of Office Manager, Barb, Accounting, and Executive Assistant.
