POSITION: SUMMER CAMP COORDINATOR

REPORTS TO:Summer Film Camp Director, Executive Director
WORK HOURS: May – 10AM-6PM, During camp – 8AM-6PM
SALARY: $7000 TOTAL

RESPONSIBILITIES:
- Assist with inventory and ordering of all required camp equipment.
- Ensure all paperwork from parents is completed and turned in.
- Check students in and out of camp daily, follow up with reminder emails the week before their camp, and ensure all students have the correct forms filled out. Call parents of any missing students or delayed students; see all students to cars at end of camp.
- Maintain all student paperwork, file, and organize for clear record keeping.
- Maintain all equipment check-in and out.
- Oversee direct supervision, discipline, and rule enforcement for the safety of all campers.
- Ensure that instructors are keeping to the camp curriculum, timeline, and schedule.
- Assist teachers with the production of camper’s films and other classroom needs.
- Chaperone each group of students while they are filming.
- Check supplies daily to ensure there is enough for the next day and week.
- Monitor instructors teaching content for appropriateness.
- Distribute and organize all camp surveys (surveys are sent every Monday following the end of a camp session).
- Make sure all students receive camp T-Shirts.
- Communicate in writing with AFF regularly about any issues with students or parents that should be of note to AFF Staff.
- Ensure snacks are inventoried and fully stocked for the following week.
- Create daily reports about camp for both the Executive Director and SFC Director.
- Ensure instructors keep all media files organized and backed up on a day-to-day basis.
- Handle all RSVPs for Summer Film Camp Showcase.
- Participate in final Showcase of all student’s projects – Held at the Galaxy Highland Theater.
- Participate in all final post-camp wrap up leading up to the Summer Film Camp Showcase.
- Provide thorough wrap-up reports.
QUALIFICATIONS:
- Bachelor’s Degree in a related field.
- Strong interpersonal skills.
- Experience working with children.

JOB DESCRIPTION: Austin Film Festival is seeking virtual and in-person instructors for its upcoming 22nd Annual Summer Film Camp. Classes are offered for age groups 9-18 and run at least two weeklong Sessions. Class times vary depending on class topics. Summer Film Camp runs from June 3 through July 26. Instructors are responsible for the planning and the supervision of daily camp activities, including carrying out the approved AFF curriculum for their assigned class. Instructors will need to provide information for a background check.

RESPONSIBILITIES:
The responsibilities of Summer Camp instructors include but are not limited to:
- Must create class materials that follow and adhere to the class curriculum.
- Attend a 2-hour orientation.
- Maintain a daily schedule based on class curriculum.
- Must complete all class film projects prior to the end of each camp session.
- Works closely with the Summer Film Camp Director and Summer Camp Coordinator to give constant updates on class progress, issues, etc.
- Provides direct supervision, discipline, and rule enforcement for the safety of all campers.
- Must be able to communicate and work cooperatively with parents, children, and staff.
- Must notify Executive Director and Summer Film Camp Director of all safety issues in a timely manner and in writing.
- Attend and assists with Summer Film Camp Showcase.
- Keep the integrity and mission statement of Austin Film Festival.
QUALIFICATIONS:
- Bachelor’s Degree (preferably in film) from an Accredited University required.
- A background in animation (for Claymation Creations Camp).
- A background in horror/ sci-fi (for Filmmaking 101: Horror/ Sci-fi Camp and Script-to-Screen).
- A background in comedy (for Script-to-Screen).
- Knowledge of Adobe Premiere editing software, cameras, and other multimedia equipment.
- Excellent analytical and problem-solving skills.
- Ability to prioritize constant changes and multi-task.
- Excellent interpersonal skills and time management skills.
- Ability to maintain high standards of professionalism.
- A reliable mode of transportation is preferred.
- Previous teaching experience with children/students is preferred.

Theater Operations Manager

RESPONSIBILITIES: The responsibilities of the Theater Operations Manager include but are not limited to:
Pre-Festival:
- Recruit and hire all Front of House staff and volunteers, including theater managers, filmmaker liaisons, interns and volunteers
- Coordinate Front of House team, including scheduling and training on AFF’s policies and procedures
- Prepare all Front of House materials, including venue boxes, binders, introduction scripts and queue cards
- Work with Accounting department to train theater managers on taking payments at venues
- Attend all venue walk-thrus; know venue size and expected attendance in order to determine number of volunteer and staff members needed
During the Festival:
- Update Theater Manager schedules, fill positions as needed
- Maintain Front of House materials, as needed, including venue boxes, binders, introduction scripts and queue cards
- Assist Production Manager in performing tech checks with filmmakers during the Festival as needed
- Provide daily attendance reports during the Festival to Film and Executive departments
Post-Festival:
- Provide wrap up of Front of House materials
- Provide completion materials, including but not limited to wrap up report, archiving of documents and resources, and updating Theater Operations training materials
Ongoing:
- Attend all Film Department and Staff meetings
- Provide weekly reports to Executive Director, Managing Director and Film Department
- Adhere to and complete a predetermined timeline
- Provide exemplary customer service
- Commitment to the AFF Mission Statement
QUALIFICATIONS:
- Bachelor’s Degree preferred
- Must have extensive knowledge of the Festival & Writers Conference
- A self-motivated, self-starter adept at juggling multiple projects and problem solving
- Strong written and verbal communication skills
- Attention to detail and good follow-through
- Extensive customer service experience
- Strong analytical and problem-solving skills
- Ability to prioritize and delegate in high stress, high volume situations; works well under pressure

Production Manager

JOB DESCRIPTION: The Production Manager manages and coordinates all aspects of film exhibition and screening logistics, including digital technology, projection and recruiting projectionists, equipment needs, contacting filmmakers, and overseeing Back of House Projection operations. The Production Manager works with the Film Department to ensure the Film Program runs as smoothly and on time as possible, adheres to screening venue contracts, and supports production of Filmmaker Packets. Excellent communication skills and customer service/support with filmmakers before, during and after the Festival, including supporting filmmaker registration, sound checks, tech support, troubleshooting, and providing any other necessary information to filmmakers screening at the Festival.

Data & File Management
- Manage the database, organization, and flow of all incoming digital film files
- Create spreadsheets and track all filmmaker information, materials, and deliverables, including exhibition files
- Update the Filmmaker Packet and send to filmmakers upon a film’s acceptance
- Create and collect preshow slideshows, trailers/bumpers and place in appropriate playlists
Equipment & Technology Management
- Schedule and coordinate equipment rentals needed at each screening venue
- Move, set up all computers for exhibition at screening venues
- Perform sound checks at screening venues
- Coordinate logistics for all films and screenings
- Follow and complete backup procedures for digital files
- Serve as screening tech point person before and during the Festival
Team Management
- Gather a team of Quality Checkers to ensure films play properly and meet Festival requirements
- Recruit capable Projectionist Volunteers to work during the Festival
- Work with the Theater Operations Manager to oversee training and communication to all Theater Volunteers, specifically Projectionists
- Attend all film department and staff meetings
- Oversee and be ON CALL during all screenings throughout the Festival to troubleshoot any technical or staffing issues
Communication & Customer Service
- Contact filmmakers about deadlines and make sure all deliverables arrive on time
- Support Registration of attending filmmakers with Film Department
- Keep Film Department updated on the schedule and status of all digital transfers
- Establish connections with screening venue contacts
- Provide weekly reports and attend weekly meetings
- Adhere to and complete a pre-determined timeline
- Stay ahead of schedule and be preemptive with all deadlines and possible upcoming technical difficulties
- Provide exemplary customer service
- Provide completion materials, including but not limited to wrap up report, final invoices, receipts, archiving of the film program, and updating Production Manager training materials

QUALIFICATIONS:
- Must be familiar with the post-production aspect of filmmaking
- Must have extensive knowledge of film aspect ratios, presentation aspect ratios, color space, projectors, film revision and sound
- Knowledge of both PCs/Mac, and video and sound file format specifics, and extensive understanding and working knowledge of Final Cut and Adobe Premiere
- Extensive knowledge of MS Excel
- Extensive customer service experience
- Experience working with and communicating effectively and efficiently with a large team
- Must be able to handle high stress situations and multi-task
- Ability to prioritize and delegate in a fast-paced environment
- Excellent time management, problem solving skills, and patience
- Must have a car
- Must be able to lift at least 25 lbs. and attend to all equipment needs at screening venues
